Annual General Meeting

Unfortunately there were too few members attending the AGM on 20th March 2018, only 13 out of 137 members attended; the required quorum was 21 (15% of paid up club members).  No business could therefore be carried on and the meeting had to be dissolved.

Another date has been set for the AGM. The committee therefore intend to hold the AGM on Thursday 24th May at 7.30 pm (North Dorset Rugby Club, SP8 5SY).

In the event that there are again insufficient members present the committee will be forced to adopt exceptional powers and make various decisions on behalf of the club.

Membership Fees

The club membership year started on 1st April so subscriptions for 2018-19 are therefore now due. Only members who have paid their 2018-19 subscription will be able to vote at the AGM.

The committee agreed that the membership fees for 2018/19 are to be unchanged from last year and this will be ratified at the AGM.

Additionally, for those doing the club Time Trials, if you have not paid by 17th May then you will not be awarded any points for the period before you have paid, and will have to pay the non-member’s entry fee.

If you have received this email, but have not renewed your membership since 1st April 2016 the Club will delete your details from the GDW database unless you either renew by 1st June 2018, or confirm you wish the Club to retain your data by responding to this email.

GDPR – Data Protection Regulation Changes

When you become a member of or renew your membership with Gillingham & District Wheelers you will be registered for an online account with British Cycling. We will provide British Cycling with your personal data which they will use to enable access to an online portal for you (called My Dashboard) on the British Cycling website.

British Cycling will use your personal data in accordance with its Privacy Notice which can be accessed at https://www.britishcycling.org.uk/staticcontent/info–Privacy-Policy-0.  If you have provided an e-mail address, British Cycling will contact you to invite you to sign into and update your dashboard (which, amongst other things, allows you to set and amend your privacy settings). If you have any questions about the continuing privacy of your personal data when it is shared with British Cycling, please contact compliance@britishcycling.org.uk.

The Club also holds details of your membership information independently of the British Cycling website and in becoming a member or renewing your membership you consent to the Club holding this information.

As a club member your information may be shared on the club website, social media pages or in emails sent by the club. This data will only be shared in the event that either you are a club volunteer, have participated in a race or challenge event or have recorded a major achievement. This data will be limited to your name, race results (if applicable) and details of your achievement. Limited further information about you may be included; for example, whether you have participated in a juniors’ race or a women’s race.

Club Kit

As many of you are aware the club is the process of updating the club kit to a new design, we had 78 responses to the questionnaire we sent out last year and 45% voted for this design.

A design based on the existing kit had 30% of the vote and the other design 25%. 

The only supplier for the most popular design was Race Skins but unfortunately their terms of re-order for minimum quantities are unacceptable due to large minimum orders.

Other suppliers with acceptable re-order quantities were approached, but the above design is not available from other suppliers and therefore we have had to re-start the process. 

In due course some revised designs will be sent out to members to vote on, this will hopefully be in the next few weeks .

Committee Members

During the year there were a number of changes to the committee with several members stepping down and some agreeing to step up.   Thanks to Tony Cannings, Mark Geddes, Adrian Riddleston and Don Tanner for their contributions over the years.  Please welcome the following new members Philippa Cannings (TT Secretary) and James Little.  If anyone wants to contribute by helping to manage the club then please let us know.
